Opinions of School Administrators on Document Management System (DMS)

Abstract:

It is observed that the results of the rapid developments in the field of internet and software have witnessed in recent years and the information created in the organizations has increased in the same time. In this context, the effective safeguarding of this rapidly growing knowledge is also an antithesis of one of the administrative necessities. Technological developments causing the increase of data presents also some convenience in order to deal with this challenge. At this point, Elektronic Document Managing Systems can be regarded as one of the most important assistants of organizations. This research is a qualitative one which aims at to determine the opinions of school administrators on Document Managing Systems (DMS). The design of the reserach is phenomenological (qualification) research method which intends to describe a "lived experience" of a phenomenon. 23 school administrators who were selected through maximum variation sampling method constitute the sample of the research. Data was obtained by using a semi-structured interview form prepared by the researcher and composed of two parts. In analysing of the data obtained in the research, content analysis technique was used and in the process of analysis of the obtained data, interview records were deciphered and analyzed. Research findings show that school administrators generally use DMS for official correspondence and document tracking. Related to the drawbacks of DMS, the slowness of net in technological context, lack of training number and quality about DMS, the interface challenge of the software, not being able to log in the system out of school or personal devices, the searching challenge of old documents in the system, insufficient text editor are the main problems faced while using the system by school administrators. On the other hand, they state that this system provide time, equipment, and workforce savings for school services. Accordingly, document management can access documents such as the management of people in an organization and fast and full text search, document display in different formats, archive, history and life cycle of the document
